MANAGEMENT SERVICES


Rent and Maintenance Charges
  • Calculate, bill, and collect all tenant rent and co-op maintenance
  • Send late notices and bill late/additional charges

Reports
  • Monthly statements itemizing building income and expense, general ledgers, and disbursement reports
  • Regular review and maintenance of all building files and information
  • Keep digital copies of all correspondence, reports and other documents

Bank Accounts
  • Maintain working relationship with bank service employees and alert them to any discrepancies
  • Complete bank account reconciliations
  • Create and monitor each budget and alert you to potential cash flow issues
  • Maintain separate security deposit accounts

Insurance

  • Buildings insured under a master policy that we competitively bid out each year, with low premiums obtained
  • Additional worker's compensation and disability insurance obtained as necessary

Leasing

  • On-hand rental agents allow us to quickly and easily advertise and rent vacant units
  • Negotiate new lease/renewal terms and prepare lease documents
  • Monitor tenant compliance with lease terms
  • Screen prospective tenants through credit reports, landlord references, review of financial information, and personal interviews

Legal Compliance

  • Initiation of and appearance in landlord-tenant cases including: Non-Payment Proceedings, Holdover Proceedings, Illegal Sublets, etc.
  • Ensure all building permits, registrations, and licenses are in compliance with the appropriate government agencies
  • Utilize tax certiorari to challenge real estate tax assessments
  • Comply with DHCR, HPD, ECB, DOB and other city agency regulations
  • Attend court hearings, fight any building violations

Vendors and Staff

  • Team of trained, licensed contractors and superintendents on hand for quick response to maintenance requests
  • Maintain active list of contractors, real estate agents, accountants, insurance companies, suppliers and other vendors
  • Negotiate competitive pricing and volume discounts with vendors, pay all invoices on a timely basis
  • Obtain contractor bids, negotiate contracts, supervise all renovations
  • Monitor performance of all staff

Site Visits

  • Visual exterior & interior inspections
  • Move-in and move-out inspections conducted by superintendents
  • Additional building inspections on an as-needed basis

Additional Co-Op Services

  • Review all sales and sublet packages
  • Set up and attend annual meetings, serve as liaison between board and residents

Tenant Relations
  • Tenant / Landlord correspondence via Web, Email, Letter or Phone conversations
  • Negotiate leases, provide documents and house policies as necessary
